General Terms and Conditions for Retailers

Price: The m² costs €50 excluding VAT. The price is for the entire event period.
Tables: If tables are required, these must be booked additionally. An additional €20 excl. VAT will be charged per table 200×50 cm.
Benches: If benches are required, these must be booked additionally. An additional €10 excl. VAT will be charged per beer bench.
Electricity: If an electricity connection is required, this must be booked for an additional €50 excl. VAT.
Tickets:
– up to 3-10m² – 2 tickets
– up to 10-16m² – 3 tickets
– up to 16-28m² – 4 tickets
If more tickets are required, these must be purchased separately, after confirmation of the dealer stand, you will receive a link where you can book exhibitor tickets.
Stand space:
– The stand space is allocated according to square meters (m²) and marked on site. The marked area may not be exceeded under any circumstances. Retailers have the choice of bringing their own tables, shelves or clothing racks. Tables can also be booked.
– If tables/benches have been booked, these must be collected from the storage area BEFORE the fire department inspection and returned there independently at the end of the event.
– All furniture, including tables and benches, must be placed within the marked stand area. In the event of violations, the organizer may have the stand dismantled immediately without refunding the stand fee.
– Tables and benches may only be removed if they have been booked. If this rule is violated, the organizer may charge a penalty fee per table/bench. If more tables/benches than agreed are removed from the storage area without permission, a penalty fee will also be charged per item. This will be checked in the course of the event.
Height limit:
– The maximum height of the stand may under no circumstances exceed the fall protection set up by the event. Goods stacked higher than this must be removed, otherwise the stand must be dismantled without warning.

Presence during set-up times:

  • Attendance is mandatory during the inspection by the fire department. As the exact time of the inspection cannot be guaranteed in advance, attendance is essential at least two hours before the opening of the event until acceptance by the fire department – if the opening is delayed due to an absence without a valid reason, the trader will not be considered the next time.
  • General stand information:
  • Parallel registration as an exhibitor in other areas (e.g. Artist Alley, 18+ Area, Cosplay Village) is not permitted and will result in exclusion.
  • Dismantling before the end of the event is prohibited.
  • If a stand is not dismantled on time, the organizer will clear it at the exhibitor’s/trader’s expense.
  • The organizer is not liable for damage caused by third parties or theft.
  • Goods and advertising material may not be placed outside the stand area, otherwise additional charges may be incurred or the exhibitor may be excluded.
  • Passing on or renting the stand to third parties without written consent is prohibited.
  • Walls must not be damaged or covered with stickers.
  • Retailers are responsible for the proper disposal of waste.
  • The furniture must be returned in perfect condition; any damage will be charged to the dealer.
  • Once approval has been granted by the fire department, the stand area may not be altered; violations may result in fees and immediate dismantling of the stand.
  • The organizer is not liable for damage caused by the use of the power connections. Borrowed extension cables and distributors must be returned at the end of the event.
  • Advertising measures are permitted on the exhibitor’s own stand; outside the stand only with the organizer’s permission.
  • The stand area must be left swept clean at the end of the event, otherwise it will be cleaned at the retailer’s expense.
  • Special requests and inquiries (e.g. seat neighbors) must be submitted in writing.
  • Exhibitors must be of legal age and have legal capacity. A trade license is required for participation; special rules apply to fan stands.
  • The organizer may reject registrations without giving reasons.
  • There is no entitlement to the allocation of a specific space, but the wishes of the traders will be accommodated wherever possible.
  • A load lift chip can be borrowed for a deposit of €50; the chip will be refunded, but must be returned at the end of the event.
  • Exchange of stands between approved exhibitors/traders requires the consent of the organizer.
  • Rented stand space may not be sublet or rented out.

Withdrawal/non-participation:

  • Cancellation of the contract is possible up to 8 weeks before the start of the event, provided the space can be re-let. The cancellation fee is 50% of the stand rental fee.
  • From 8 weeks before the start of the event or in the event of refusal to cancel the contract, the cancellation fee is the total stand rental plus advertising costs.
  • A replacement tenant provided by the dealer does not have to be accepted.
  • Stands that have not been set up by 1 hour before the opening on the first day of the event will be reassigned without entitlement to a refund of the stand rental fee.

Products offered for sale:

  • Retailers are responsible for compliance with all applicable legal provisions (e.g. protection of minors, accounting law).
  • The sale of fresh food, drinks, weapons, replicas and unlicensed products is prohibited. The organizer may request proof of origin if required.
  • Objectionable articles may not be exhibited. Repeated violations may result in exclusion without entitlement to reimbursement of costs.
  • In the event of serious violations, a complaint may be filed.
  • The sale of tickets for other events is prohibited, as is the sale of mystery bags and Al-Art products.

Protection of minors:

  • Underage visitors must be taken into account; adult, violent or pornographic goods may only be offered in the 18+ area.
  • The sale of goods harmful to minors is also prohibited in public areas, even if there is an age check.
  • Only non-critical nude motifs are permitted in the 18+ area; figures and printed matter of certain genres (e.g. yaoi, yuri, hentai, horror) may only be exhibited there; under no circumstances may material be exhibited that depicts sexual acts with persons perceived as minors .

Payments:

  • The stand costs must be paid by bank transfer no later than 2 weeks after receipt of the invoice (account holder: Zlatko Hamzic; IBAN: AT192081500042410134; BIC: STSPAT2GXXX; reason for payment: dealer name + invoice number). Late payment shall be considered as withdrawal.

Liability and insurance:

  • The trader is responsible for insuring the stand inventory against damage, theft, etc. and is also liable for any damage to the stand.
  • The organizer is not liable for damage caused by the use of its own stand equipment.

Failure to fulfill the conditions of participation:

  • In the event of violations of the conditions and despite warnings, the trader may be excluded from the event without reimbursement. In the event of serious violations, the organizer reserves the right to press charges.

Place of fulfillment and jurisdiction:

  • The place of fulfillment and jurisdiction is Graz, Austrian law also applies in the case of foreign references.

Partial nullity clause:

  • Invalid provisions shall not affect the validity of the remaining conditions of participation. The invalid provision shall be interpreted in accordance with its original purpose.
